Tasks

Tasks allow you to assign jobs relevant to the resolution of any card to particular Users. We will go through My Tasks, All Open Tasks, All Unassigned and the Task Search one at a time:

My Tasks

This tab shows a menu of all tasks assigned to you. By default "Tasks" opens to "My Tasks".

Clicking on any of the headers at the top of the menu will list all of the tasks by that header. A small arrow will appear to the right of the header name to indicate whether they are organized in descending or ascending order.

Num: Displays the Task Number.

Task Name: Displays the Task Name, as given by the creator of the Task.

Description: Displays a small part of the Task Description, as given by the creator of the Task.

Assigned: Displays the name of the person responsible for this Task, as assigned.

Priority: Displays how important/critical this Task is, as designated.

Status: Displays the status of this Task, as designated.

Created: Displays the date this Task was created, auto-fills upon creation of a Task.

Due: Displays the date this Task must be completed by, as assigned.

To edit or view the full task, click on the subject name of the task. This will bring you to the following Task Editor:

The following three options remain available as you navigate the Task Editor:

Card Thread: Selecting this tab will bring you to the Card Thread menu:

Card Tasks: Selecting this tab brings you to a list of tasks related to the card. Initially you are able to see all tasks associated with the card. You have the option to select "Show My Tasks Only", which edits the view so you see only the tasks which have been assigned to you for completion.

Card Files: Selecting this tab will bring you to a list of any files which are associated with the task. For instance, if a member requested some form of information and and whoever it was assigned to added the necessary data file to the card file, it would appear in this tab.

View Task: This is the default menu when you click on the subject name of any task. As clicking any new tab within this window will redirect you away from the "View" menu, we will address the components therein first.

Update Task Information: Within the "Task Information" menu, there is the option to update the task information. If the task has been completed, you can change the status to "Resolved"; if the critical aspects of the task have been dealt with, it can be made lower priority etc. You also can change who the task is assigned to by selecting either "Me", "Pick Another User", or "Mark Unassigned." Once you have made the necessary changes, simply click "Update Task Information" to save the new information.

Add Task Entry: Selecting this will open a small text box, allowing you to add an entry in the task journal. The default entry, when creating a task, is "Task Created". If there are components to this particular task, it is a good idea to write entries to update the progress of the task, so that everyone who needs information on this task can see a report.


Now we will address the other task options displayed within the "View Task" window:

Show My Tasks Only: Clicking on this will redirect you to a list of all tasks currently assigned to you. This menu is essentially the same as the default "My Tasks" menu in the "Tasks" tab, but is focused only on tasks assigned to you within this specific card.

Clicking on the name of any header will organize the tasks assigned to you under this card by that header. A small arrow will appear next to the name of the header to indicate whether the tasks are organized in ascending or descending order within that heading.

Clicking on the subject name of a task will return you to the "View Task" menu for that specific task.

Add New Task:  Selecting this tab will bring you to the "Add New Task" menu, as discussed in BUZ CSM > Cards in the Reference Guide:

Status: Select the relevant status for the Task. Unless you are editing a task, usually the selection "New" will be the most relevant. The status options are New, Open, Resolved, Dead, Pending.

Priority: Select how critical this task is as a priority. The priority options are Low, Normal, High, Critical.

Start: The start date of the task will auto-fill to the current date, but can be changed by either entering the date in mm/dd/yyyy format, or clicking on "select" and choosing the date from a small calendar.

Due: This indicates the date that the task must be completed by. To choose a date either enter the date manually in mm/dd/yyyy format, or click on "select" and choose the date from the small calendar.

Task Name: The task name can be anything from a number (if there is a sequence in which the tasks should be completed) or a small descriptor of some sort. This must be filled out to add the task.

Description: Give detail to what is necessary to the task, so that the person  responsible for it will know exactly what they are intended to do.

Assigned To: Select whether the task should be assigned to yourself, or to another user. This adds the task to their tasks bar, so that they can see what they are responsible for at any given time.

All Open Tasks

This tab displays a complete list of all tasks which are not marked resolved or dead. This is a great overview of what is still in the works and what needs to be addressed still.

The tasks are listed in numerical order from smallest to largest, by default. If you choose to organize them by another header click on the header name and the cards will be listed in descending order by that header. By clicking the header again you can organize the cards in ascending order by that header.

All Unassigned

This tab displays a complete list of all tasks which are not currently assigned to anyone. In order to assign it to someone, including claiming responsibility for it yourself, click on the Subject Name of the task, you will be redirected to the "View Task" menu, and select either Me, or Pick Another User next to "Assigned To".

Once you have completed updating the task, click on "Update Task Information".

Task Search

Clicking on this tab will redirect to the Task Search menu:

Keyword Search: Allows you search for all tasks with a specific keyword or keywords in them. 

Note: This searches only the body text of the task (the description).

Subject: Allows you to search for tasks with a particular word in the subject.

Dates: Allows you to search for all cards started within a certain time frame. Either enter the date manually in the mm/dd/yyyy form, or click on "Select" to open a small calender and choose the date(s). 

Status: Allows you to search for all tasks filed with a certain status. Eg: all pending tasks. Click as many boxes as you wish.

Priority: Allows you to search for tasks by priority. Select as many options as you wish.

Assigned To: Allows you to search for tasks by the name of the person they are currently assigned to. Select as many options as you wish.
