FInding a Member in the LIst

To find a member in Member Manager, hit the F2 key on your keyboard which will place the cursor in the search box on the top of the member list.

The list will filter as you type ahead.  For your convenience, the search simultaneously searches the last name, first name and ClubId columns.  If you are searching by last name, once all of the results in the list are the same, you can use a comma to start searching for the first name.  This is convenient if you have a long list of common names.  You can also use the cursor keys or mouse to select the desired person.

Member Functions

Once you have selected the member you want, there are serveral functions you can perform by right clicking on the member's name and then selecting the function you wish to perform.



Filter

Once you select the Filter option the following options will appear:



All the filters which are located below the separation line are the filters which are getting picked up from the Query Manager. Selecting 'All Members' will bring you back to your full member list. You may manage your Default Filter in the Filtering tab of your Member List Setup.

A/R Adjustment

This function allows you to add an Adjustment Amount to a Member Account:



Input an adjustment amount, select all the applicable taxes, adjustment date, GL Account and a memo, to describe the reason for the adjustment. Click OK to proceed.


Accept Payment

This function allows you to accept member payments to the member's account or cashbook. 




The interface is designed to be convenient to use on a touch screen, as it can be configured to be invoked from both retail and F&B POS screen.  It is intended to be used to receive a single payment on account from a single member.  For batch payments on account, users should use Bulk Payment on Account from the Accounts Receivable module.

To process a payement on account:

  • Enter a memo, usually a check number or other reference number
  • Enter the amount of the payment
  • If the payment is to be applied to the Cash Book, use the button on the top right to toggle to the Cash Book.
  • If you do not want to print a receipt for the payment, click the Print Receipt (Yes) button to Print Receipt (No).
  • If you wish to change the date of the payment from the current date, click the Change Date button and change the date.
  • Lastly, click the Tender button, select the method of payment for the transaction (On Account is intentionally disabled) and then click OK to process the payment.

On completion, you will be returned to the Member Manager screen, with the member in focus in the member list.

Account Details

Allows you to view a member's account.



From this view, you can:

  • View a member's account for a specific fiscal period or a range of fiscal periods by selecting the start and end periods.
  • The Show All checkbox will allow you to see all transactions associated witht the member, regardless of how they elected to pay for the transaction.
  • Void a payment on account, provided the payement has not been deposited and the fiscal period has not been closed.
  • Change the member who was charged for an invoice, provided that the fiscal period has not been closed
  • Void an invoice, provided that the fiscal period has not been closed.
  • Change the date of payment, provided that the fiscal period is not closed.
  • View and print the member's statement for the fiscal period selected.  When printing the statement, you can elect to display line by line details for different types of transactions such as F&B or retail, by selecting the applicable checkbox.
  • Print chits for the fiscal periods selected.

Add Task

After clicking on the Add Task option the following form will appear:

Attach File

You may attach a file to a specific member profile by selecting the Attach File option. The following window will appear:



Click on the highlighted button to select a file from your computer. Attachment Date and File Date fields will get populated automatically. Add description of the file in the Description field.


BuzRewards

If your club has implemented a loyalty program, using Buz Rewards, launch this option to monitor, grant or redeem points.



Member Charge


Once this option has been selected, you can launch either the Retail or F&B POS applications to process a charge or credit for the selected member.

Member Signature

Allows you to set, capture, view or delete an electronic capture of the member's signature. 

The capture process will require the member to sign their signature on a touch device such as a tablet

Pending Bills

The Pending Bills option will display future billings to a memebr's account which have been configured in the Billing Manager.

Periodic Minimum

This function allows you to show the details of the selected members periodic minimum spending.



The top of the form displays the date range for the current periodic minimum as well as the minimum obligation and amount unspent. The lower portion of the form provides a list of each item purchased during the current minimum period.  The Paid column indicates the amount which applies to the member's periodic minimum obligation.

Print Member Cards

Allows the club to print membership cards which can be used as a form of identification as well as configured with a scanning option. For more informatiion on this option, email tickets@buzsoftware.com
