Billing Manager
The Billing Manager provides the means to bill members for dues, lockers, assessments etc. .

To launch the Billing Manager, click on the Billing Manager which is in the Accounts Receivable group.

Interface

The default view displays billing records which are 'Active' (never posted) or 'Posted' (partially posted).  The columns in the view are:

InventoryID.  This is the itemid of the item to be billed.  All items must be created in the Inventory Manager on groups designated with the type 'Member Billing'.

ItemDescription.  This is the description of the inventory item.

FreeFormDescription.  This is a description which is created at the time of adding a billing record.

StartDate.  The start date for billing.

PrincipalAmount.  This will be the total amount of the billing.  If the billing is in installments, then each billing will be calculated based on the Principal Amount / Number of installments.

InstallmentFrequency.  Options for installment frequency include: Monthly, Bi-Monthly, Quarterly, Semi-Annually, Annually and Single Installment.

Status. Options are Active (never posted), Posted (partially posted) and Fully Posted.

Payments.  The total number of installments.  For example, an initiation fee payable annually over 5 years would have a payment value of 5.

LastPostingDate.  The last date an installment was posted.

AppliesTo. Member Category, Golf Category, Custom Query or Specific Member.

Members.  Click on the link to see the members who will be billed for the specific billing record.

Posting History.  Click on the link to see a history of posting for the specific billing record.

Tool Bar

The Billing Manager has numerous options available from the Tool Bar:

Add/Edit/Delete.  Add, edit or delete billing records.

Schedule.  Will display the payment schedule for the select billing record

Import.  Upload a CSV billing file.

Delete Un-posted Import File.  Sometimes, there are errors in uploaded files.

Click on a line in the Billing Manager which has an uploaed billing record and the button on the tool bar will be enabled.  Click on the button.

If you select Yes to proceed, all of the records in the uploaded file will be deleted.

Expand/Collapse.  Once details of billing records have been chosen, you can expand or collapse the details in the grid

Filter.  Offers numerous filtering options.

Post.  This button will initiate the posting process.

Copy.  The function will allow you to copy a billing record.  This is useful for copying records from one year to another.

Set Up.  Loads the setup screen.
