Prepaid Packages
Many clubs off prepaid packages for guest fees, cart fees, golf lessaons and so on. Prepaid Packages provide an easy way to sell a package and then track the redmption through POS.
Prepaid Package Category
The first step in creating a prepaid package is to create a subcategory in the Inventory Manager which is explicitly designated for the intended package. The only difference between a standard subcategory and one that is designated for a prepaid packge, is the checkbox for Is Prepaid Package?
Note: Each package must be in its own subcategory
Prepaid Package Items
There are two types of Inventory items, which must be created for a prepaid package.
Parent Item
The parent item represents the package that the member is purchasing. The selling price should be the total cost of the package.
In the section for Prepaid Package, set the radio button for Parent item, the total number of redemption points (in this example, the $200 package was for 10 prepaid carts). If any member of the family can redeem the package, check Allow Family Redemption. Lastly,s et the Expiry Date for the package.
Child items (Redemption items)
As the package is redeemed, the child items will be sold at point of sale for $0.
In the section for Prepaid Package, Select the radio button for Child item, Item Point Value (in this example the value for a 9 hole cart has een set to 0.5, which means that the to package of 10 carts will be reduced by 0.5 units as each cart is sold.
Profile Manager
Once the package has been created you can add the items to the applicable POS profiles.
Selling a Package
A package must be sold to a person in the database, who will later be identified when the person will be redeeming the package. The person can be a member or green fee player
Redeeming a Package
To redeem part of a package, slect it as a sales item from the POS screen
The sales buttons on the pos screen will show the remaining number of redemptions available to the member for each child item. Once the package has been completely redeemd, the sales buttons will have an X through them and cannot be used.
Note: A package can only be sold once to a member. If you anticipate that members will purchase more than one package, create additional identical packages.
