Scheduled Task Report History

When sending an email using a Custom Query recipient list, the option is provided to schedule an email to be sent at a later time, or date. These scheduled emails are listed on the Scheduled Task Report History page:

Note: By clicking on the name of any of the headers, except "Action", you can organize the scheduled events list by that heading. Click once for descending order, click a second time for ascending order.

Action: Hovering over the "Action" button next to any of the scheduled emails will display a list of possible interactions that can be had with that email.

Inactive/Active - This function allows you to toggle the Status of the Scheduled Email. 

Note: It is necessary for an email to be in Active status for you to make any changes to the scheduled event (see Edit)

Edit - If the email is Active, you have the option to "Edit" it. This does not allow you to edit the email itself, but does allow you to change the following:

Task Name: This is the name associated with this event. You can change the Task Name to make it easier to follow instances of this scheduled event. For instance, if this is a Newsletter being sent regarding one event, the Task Name could be changed to the name of the event to make it easier to find in the future.

Scheduled Time: This is the time that the email will be sent out.

Note: The actual hour that this is sent depends on the Email Settings you entered for timezone.

Scheduled Date: This allows you to determine the date that the email will be sent out.

Detail - This will open a display window showing the instances of this scheduled event and their level of completion (or activity).

Task Name: This is the name given to the Scheduled Task during its creation.

Last Run Time: This is the date and time that the Scheduled Task last occurred.

Next Schedule Time: This is the date and time that the Scheduled Task is next Scheduled to occur. 

Status: This indicates whether the Scheduled Task is currently Active or Inactive. Active indicates that it is currently in use, or is scheduled to occur in the future, Inactive indicates that it has already occurred in the past, or was cancelled manually by the user toggling its status under "Action".

Filtering the Scheduled Tasks

Active: The "Active" selection at the top right of the page is the default page when opening the Scheduled Task Report History. Active displays all pending scheduled emails which are still unsent. This page automatically updates every 15 minutes, thereby giving you a 15 minute window at any time of the current active scheduled emails.

Inactive: The "Inactive" selection allows you to view all previously sent emails, as well as their last run time, when they are next scheduled to be sent and allows you to interact with the email. 

Note: To Edit this email you must first mark it as "Active" again, as there is no purpose in editing an email which is not being sent again.

All: The "All" selection allows you to see both Active and Inactive emails that have been scheduled to send, giving you an overview of the usage of Scheduled emails.
