Events

The Events page gives you access to all of the events within your system.

Upcoming Events: This is the default menu when you open Events. We will discuss the headers Num, Start, Name, Regs, Status, Desc, Venue, Type and Member below.

Note: Clicking on any of the headers at the top of the menu (those are listed in blue) will return you to the Home page, with all of the events organized by that header. A small arrow will appear to the right of the header name  to indicate whether they are organized in descending or ascending order.

Num: This is assigned automatically to the event when the New Event is saved. It is based on chronological order of creation of the events.

Start: This displays the date that the event begins.

Name: This is the name of the event that was given at the time of its creation.

Clicking on the name of the event will bring you to Event Summary menu:

Event Summary: This is the default menu when you click on the event name. It allows you to see the activity within the event in a snapshot.

At the top of the summary there is a heading that states "Event is _ days away". This changes automatically to accurately inform you how far away the event is.

Total Registrants: This is the number of people who have registered for the event.

Percent Filled: This displays how full the event currently is, in a percentage.

Pending Registrations: This shows how many registrations are still pending.

Value: This displays the total value of the current registrations.

Payments: This displays how much has been paid already towards the event.

Note: All of the value in this section will update themselves automatically as more registrants complete their registration forms.

Event Details: This menu allows you to see all of the details that were selected during the creation of the event. For more information on each of the headings (General, Attendees, Restrictions, Costs, Attendee Options, Registrant Options) or details themselves, see "Create New Event" on Buz ERS in the Reference Guide.

Make any changes that you see fit and click on "Save Event" to save the updates. It is recommended to save the event after each heading that you update, so that you do not lose any of the new information.

Registrations: This menu gives a more detailed breakdown of the current status of registrations for the event.

Add Registration: Click on this button to be redirected to the registration form.

All: Allows you to view all of the registrations for this event.

Confirmed: Allows you to view only the registrations that are currently Confirmed for this event.

Pending: Allows you to view only the registrations that are currently Pending for this event.

Waitlist: Allows you to view the registrants that are waiting on the waitlist.

Num: This is automatically assigned by chronological date of registration.

Receipt: This is Receipt ID code.

Click on the Receipt Code to open the "Registration Details" menu:

Remove Registration: Click on this to open a window confirming whether you do or do not wish to cancel the registration. Click on "Confirm-Remove Registration Form" to remove, or click on the "x" in the top right hand corner to keep the registration form.

Registration Details: This displays the basic information of this registration.

Receipt Number: This is the unique registration ID code.

Status: This shows the current status of the registration. To change the status, select a new status from the drop down menu and click "Update" to save the changes.

Received: This displays the date that the registration form was completed.

Sent By: 

Registrant: This is the name of the person who filled out the registration form.

Last Modified: This is the date that this registration was last modified.

Invoice Details: This displays the invoice information for this registration.

Invoice: This is the Invoice Number, as given to the registrant upon completion of the registration.

Amount Due: This is the remaining balance payable for this registration.

Invoice/Payment Details: This displays the account for this registration.

Item: This displays what information will be shown in the next columns. This is a Transaction of some sort on the account.

Date: This shows the date that this information was entered.

Status: This shows the status of the Item.

Amount: This shows the amount that is included in the Item.

Click on Add Transaction to add another Item to the list. This will open the Event Registration Actions menu allowing you to enter a payment, or information on a lack of payment, into the account details summary.

Click on View Invoice to view the full printable Invoice for this registration.

Attendees:Displays a list of the Attendees included in this registration.

Num: This is automatically assigned at the time of registration chronologically given based on date of the completion of a registration form within this ERS. 

Name: Shows the name of the Attendee.

Mem/Guest: Shows whether this attendee is a Member or a Guest.

Price: Shows the price for this attendee.

Edit: Allows you edit the information for the associated attendee.

Del: Allows you to delete the associated attendee.

Click on Add Member to add another Member attendee to this registration.

Click on Add Guest to add another non-member attendee to this registration.

Date: This is the date that the registration form was completed.

Status: This is the current status of the registration. For more information on Registration Statuses see Buz ERS > Administration > Registration Status in the Reference Guide.

Submit By: This is the username and/or name of the person that made the registration. 

Total: This shows the total fee for this registration.

Payments: This shows a confirmation of payment made.

People: This shows the people on the registration.

Note: Clicking on the headers  Num, Receipt or Date will open the Confirmed tab will all Confirmed registrations listed by that header. A small arrow will appear to the right of the header to show if the registrations are listed in descending or ascending order. Click on "Status" will simply organize the registrations in the "All" menu by status in descending order, to sWitch to ascending order, click on the Status header again.

Reports: This menu allows you generate reports for this event.

Custom Attendee Report:

  1. Select Custom Attendee Report and click Next.
  2. Select the type of file you would like to export this to and click Next.
  3. Select the Custom fields that you would like included in this report and click Next.
    This will automatically create and export the desired file for you.

Tournament Expert Report:

  1. Select Tournament Expert Report and click Next.
  2. Select the type of file you would like to export this to and click Next.
  3. Select the Custom fields that you would like included in this report and click Next.
    This will automatically create and export the desired file for you.

Jonas Account Detail Report:

  1. Select Jonas™ Account Detail Report and click Next.
  2. Select the type of file you would like to export this to and click Next.
    This will automatically create and export the desired file for you.

Regs: This is the amount of registrants there currently are for the event.

Status: This is the current status of the Event. For more information on Event Statuses see Buz ERS > Administration > Event Status in the Reference Guide.

Desc:This is the short description given to the event when it was created.

Venue: This is the venue for this event. You can add venues to your list manually under Administration. For more information on Event Venues see Buz ERS > Administration > Event Venues in the Reference Guide.

Type: This is the Type of your event. You can add types to your list manually under Administration. For more information on Event Types see Buz ERS > Administration > Event Types in the Reference Guide.

Member: If this was an event created through an Event Submission page, this will display the name of the member who created the event. For more information on Event Submission webpages, see Buz CMS > Page Types> CMS Page Types > Event Submission in the Reference Guide.

Past Events: This menu displays all Events that have already occurred with your ERS.
