Reference Guide POINT OF SALE Reports

Reports

To open the Reports menu, select Options/ Point of Sale/ Reports. You will need to log-in with the credentials provided for you. The following window will open:

To run a report, select the desired report from the list on the left by clicking on it. Enter the required information (see more detailed information on the individual reports below). 

Once you have entered the necessary information, click Run Report at the bottom and center of the screen.

This will return an exportable report containing the information requested.


A/P Report:

The Accounts Payable Report requests a date range, to limit its search. It can also be filtered by vendors, or search by All Vendors, as seen below:

A search, such as the one pictured above, will return something similar to the following report:

The Report will be sorted by Vendors (A&B Exhaust&Tire is the example seen above), and will include all of the relevant transactions included within that date range.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.

If you wish to see any of the underlying source documents for a transaction, click on the blue hyper-link associated with the transaction. The source document will load, as seen below:


A/R Aging Summary:

The Accounts Receivable Aging Summary Report requires you to select the Fiscal Year that you wish to view in the Report. Once you have selected the year another drop-down menu will appear requesting that you "Select Description". Choose the Month of the selected Fiscal Year that you wish to view a report for:

Typically, accounts with balances which are aged more than 60 days are deemed to be overdue, so it is unlikely that you will have much information returned when running this report.


A/R Payments On Account:

The Accounts Receivable Payments On Account Report requires you to provide a date range, to limit its search. You also are able to select what item you would like the Report to be ordered by:

A search, such as the one pictured above, will return something similar to the following report:

Having selected to order the Report by last name, the Report is alphabetically ordered by last name of the Accounts Receivable account (Algeri, Stephen is the example shown above), and will include all of the relevant transactions included within the selected date range.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.

If you wish to see any of the underlying source documents for a transaction, click on the blue hyper-link associated with the transaction (in this example we will use "160"as the source document). The source document will load, as seen below:


Accounts Payable By Supplier Balance:

The Accounts Payable By Supplier Balance requires you to enter an "As of" date to refine its search. You can also select "Suppress suppliers with zero balance" to only receive a report of Suppliers with a remaining balance:

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Bar Codes:

The Bar Codes Report requires that you enter the number of labels that you wish to print for each item in the number column (by default they are all set at "0"). If there are no values, nothing will load or print:

Once you have selected which Bar Codes and the Number of them that you wish, click on "Run Report". The following page will load, with your selections displayed:

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". Cash Account- Detailed:

The Cash Account- Detailed Report is a detailed report on an individual member's Cash Account. The report set-up requires you to provide a date range, to limit its search.You must select the name of the member from the drop-down list :

The Report will be sorted by date, in ascending chronological order from the date selected as your Start Date, and containing all relevant transactions within the selected period.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.

If you wish to see any of the underlying source documents for a transaction, click on the blue hyper-link associated with the transaction. The source document will load, as seen below:


Cash Account- Summary:

The Cash Account- Summary Report allows you to see an overview of the state of the Cash Accounts of all of your members. It requires you to select an "As at" date.  You have the option to "Suppress members with zero cash book balance" for a less cluttered report:

The Report will be sorted by Last Name of the Members, and will display the state of their Cash Accounts as they stood at the selected date.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.

If you wish to see any of the underlying source documents for a transaction, click on the blue hyper-link associated with the transaction. The source document will load, as seen below:


Charge Report- Daily:

The Charge Report- Daily Report requires you to provide a date range, to limit its search. You can also filter the Report by Profile, or User Selection. You also have the option to select the checkbox and show reconciliation:

The Report will be sorted by the separate item headings. In the example above the first heading is "Food and Beverage, Beverage, Beer".

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Check Register:

The Check Register Report requires you to provide a date range, to limit its search. You also need to select the Bank Account that you wish to receive a Report for:

The Report will be sort by date, and will display any Check #s used during the selected period, as well as the Payee, and the dates and Amount relevant to that particular transaction. In the example above, no checks were used from this account during that period, so the report displays empty.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Chit Export for Jonas TM Customers:

The Chit Export for Jonas TM Customers, as the name indicates, is only for Jonas TM Users. To open the chit exporter, simply click on "Run Report" and the following menu will launch:

Select the parameters for the chits that you wish to post, select which specific chits you wish to post by clicking in the associated "Post?" checkbox, and select "Post Chits".


Cost of Goods Sold:

The Cost of Goods Sold Report requires you to select a date range, to refine its search. You also have the option to filter the report by profile. If you know which item you wish to view in the report, select the checkbox related to the item (eg: Food and Beverage) and click on "Run Report".

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". Credit Book- Detailed:

The Credit Book- Detailed Report is an in depth view of an individual member's credit book account. The report requires you to select a date range, to refine its search. You must also select a member from the "Show..." drop-down menu. Once you have set your parameters, click on "Run Report":

The Report will be ordered by the Credits the member has in their Credit Book. This will include all relevant transactions for the selected time period.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Credit Book- Summary:

The Credit Book- Summary report allows you to see an overview of the state of the Credit Book Accounts of all of your members. It requires you to select an "As of" date.  

A search, such as the one pictured above, will return something similar to the following report:

The Report will be sorted by Credit Book entry events, and will display the state of Credit Book Accounts as they stood as of the selected date.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.

If you wish to see any of the underlying source documents for a transaction, click on the blue hyper-link associated with the transaction. The source document will load, as seen below:


Deposit Details:

The Deposit Details Report requires you to select a date range to refine its search. This will produce all deposits entered during the selected time period. To Run the Report you will need to select a deposit by clicking on it.

To export, select the desired Export Type from the drop-down menu and click on "Export Report". G/L Account Transactions:

The General Ledger Account Transactions Report requires you to select a date range to refine its search. You are also able to filter the results by selecting a group or sub-group from the menu.

G/L Transactions- Detailed:

The General Ledger Transactions- Detailed report allows you to view the General Ledger Transactions for a specific section of your company (eg: POS).The report requires you to provide a date range to refine its search. You will need to select which General Ledger Source you wish the report to be focused on.

A search, such as the one pictured above, will return something similar to the following report:

The Report will be ordered chronologically by date of the transaction.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.

Gift Certificate - Detailed:

The Gift Certificate- Detailed Report is a detailed report focused on one specific Gift Certificate Number. You are required to select an "As at" date, and a Gift Certificate number that you wish to focus on, to refine the search.

A search, such as the one pictured above, will return something similar to the following report:

The Report will be ordered by the Chit Number of each Transaction.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.

Gift Certificate - Summary:

The Gift Certificate- Summary Report allows you to see an overview of the state of the Credit Book Accounts of all of your members. The report requires you to select an "As at" date to refine the search. You are also provided the option to Suppress zero balance gift certificates for a less cluttered report.

To export, select the desired Export Type from the drop-down menu and click on "Export Report". Gratuity By Server

The Gratuity By Server report requires you to select a date range, to refine its search.

A search, such as the one pictured above, will return something similar to the following report:

The report will be ordered by the date of each transaction.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Inventory Status:

The Inventory Status report allows you to refine your report parameters by Inventory area (eg: Retail). You also have the option to Suppress deleted items and/or include non-inventory items in your report.

The report will be organized by Category headings, and will include all relevant transactions.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Member Account Statements:

The Member Account Statements report requires you to select the Fiscal Year and the Month within that your that you with to create a report on. You also have the option to alter what the report will be sorted by and what will be shown in the report. When you have selected the parameters, click on "Run Report", this may take a few seconds to load (as indicated by the loading bar).

Each member's Account statement will be provided on a separate page.

Member Address List:

The Member Address List report can be run simply by selecting this report from the list and clicking on "Run Report". The Member Address List will appear as shown below:

To export, select the desired Export Type from the drop-down menu and click on "Export Report". Member Export:

The Member Exporter can be launched by selecting this option from the reports list and clicking "Run Report". The exporter will launch as shown below:

Select where you would like to save the export and click "OK".


Member Mailing Labels:

The Member Mailing Labels report can be launched by selecting this option from the reports list and clicking "Run Report":

Periodic Minimum Status Report:

The Periodic Minimum Status Report requires you to select an "As at" date, to refine the report. You are also able to select is you would like to exclude members with zero minimum balance, for a less cluttered report.

To export, select the desired Export Type from the drop-down menu and click on "Export Report". POS Reconciliation Report:

The Point of Sale Reconciliation Report requires you to select a date range, to refine the report. You also have the ability to filter the report by profile, user and to deduct gratuities from cash receipts.

The Report is ordered by Chit ID

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". Purchases By Member - Detailed:

The Purchases By Member- Detailed report provides you with a down to chit view of all purchases by a member or members in your club. The report requires you to select a date range, to refine the report parameters. You have the option to select a specific member for the report, or to search for all members. If you would like only specific items on the report, select the check box next to the relevant item. Once you have set the parameters you desire for the report, click "Run Report":

To export, select the desired Export Type from the drop-down menu and click on "Export Report". Purchases By Member - Summary

The Purchases By Member - Summary report provides an overview of purchases by the members in your club. The report requires you to set a date range, to refine the parameters of the report. You have the option to Hide the Details, providing on the most basic information in the report. If you wish for specific items only to be included in the report, select the desired items from the list, and click "Run Report":

A search, such as the one pictured above, will return something similar to the following report:

The Report will be ordered alphabetically by Last Name of the member.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Purchases By Supplier:

The Purchases By Supplier report requires you to select a date range to refine the search parameters. You have the option to refine the report further by selecting a specific vendor, or only listings which meet any of the options listed under "Show...":

The Report will be ordered chronologically by the date of the transaction.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". Receipts By Profile

The Receipts by Profile Report requires you to select a date range in order to refine the report parameters.

A search, such as the one pictured above, will return something similar to the following report:

The Report will be ordered in alphabetical order by Profile name.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Receipts By Profile and Server:

The Receipts By Profile and Server report requires you to select a date range in order to refine the report parameters.

A search, such as the one pictured above, will return something similar to the following report:

The report will be ordered alphabetically by the Profile Heading name. This will include all transactions for Managers, Servers and Users within the selected dates.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Receipts By Server:

The Receipts By Server report requires you to select a date range in order to refine the report parameters.

A search, such as the one pictured above, will return something similar to the following report:

The report will be ordered alphabetically by the Employee name. This will include all transactions for all employee useers within the selected dates.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Sales By GL Account:

The Sales by General Ledger Account report requires you to select a date range in order to refine the report parameters.

A search, such as the one pictured above, will return something similar to the following report:

The report will be ordered by Account Number and will include all General Ledger Transactions for all Accounts with the selected date range.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Sales By Item:

The Sales by Item report requires you to select a date range in order to refine the report parameters. You also have the option to filter the report by Profile, or  to select specific items which you would like on the report.

A search, such as the one pictured above, will return something similar to the following report:

The report will be ordered by heading, and will include all items sold under the selected heading within the indicated date range.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Sales By Tender Method:

The Sales by Tender Method report requires you to select a date range in order to refine the report parameters. You also have the option to filter the report by Profile or by User, to have a more specific report.

A search, such as the one pictured above, will return something similar to the following report:

The Report will be ordered by Tender method, and will include all transactions within each Tender method for the selected date range.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Tax Report:

The Tax Report  requires you to select a date range in order to refine the report parameters.  You also will need to fill in the Account names related to each of the lines for the tax document.

A search, such as the one pictured above, will return something similar to the following report:

The Report will be ordered by the numerical order of the "line" for the tax form.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Timecards:

The Timecards report requires you to select a date range in order to refine the report parameters. For this report you have the option to export the report directly, or to run it. You still have the option to export the report after you have run it.

As you can see, there are no timecard entries for the selected time frame, so the report returns empty.

To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.


Trial Balance:

The Trail Balance Report requires you to select a Fiscal Year and Month to refine the report parameters. For this report you have the option to export the report directly, or to run it. You still have the option to export the report after you have run it.

The report will be ordered by Account Number.

Voided Invoiced:

The Voided Invoiced report requires you to select a date range, in order to set the parameters of the report.

A search, such as the one pictured above, will return something similar to the following report:

The report will be ordered by the Invoice number. It will include all voided invoices which entered the system during the selected date range.

To act on the report (Print, Export, Search etc.) use the tools provided on the toolbar at the top of the MMM Report Manager viewer. To export, select the desired Export Type from the drop-down menu and click on "Export Report". If you are unsure of the use of any of the items in the toolbar, hover your mouse over the item and a tool-tip will appear.
