To manage GL Account Groups, launch the GL Accounts under the GL Group on the Outlook bar. The following form will load:
Buz Software uses a unique approach to the structure of your chart of accounts; each major account group (Assets, Liabilities, Capital, Income and Expenses) can be subdivided into sub groups in a hierarchal fashion. In the image above, note the hierarchy outlined in red. The last GL Account Group (Accounts Receivable) contains a number of GL Accounts (which are outlined in green).
There are two key advantages to this approach: First, it makes it easier to find GL accounts if they are grouped in a logical fashion. Second, the group hierarchy represents the layout of the financial statements.
Manage GL Account Groups
Add a Sub Group
- From the tree-view on the left hand side, select the Group or Sub Group under which the new sub group will appear by clicking on the group name.
- Click on the Add button.
- Enter the name of the new sub group.
- Enter the display order for the sub group. The display order will determine the order in which the sub group wiil appear on the financial statements. The value of the display order can be an integer between 0 and 9999. The values do not have to be assigned in sequence.
Tip: Always leave gaps in the display order so that new sub groups can be added and inserted into the correct display order. Gaps of 5 or 10 will allow flexibility in modifying the display order of your financial statements. (New feature to be added shortly) - Click on the Save button.
Edit a Sub Group
- From the tree-view on the left hand side, select the Sub Group which you would like to edit.
- Click on the Edit button. You now have two choices, change the group name or move the group. Instructions on moving a group will follow in the next section.
- In the text box which has the group name, make any desired changes and click the Save button.
Move a Sub Group
- From the tree-view on the left hand side, select the Sub Group which you would like to move.
- Click on the Edit button.
- Click the Move button
- Select the GL Account Group to which you wish to move the Sub Group. Click Save.
Delete a Sub Group
- From the tree-view on the left hand side, select the Sub Group which you would like to delete
- Click Delete. If the delete button is not enabled, you cannot delete the sub group, because it has other sub grops or GL Accounts associated with it.
